Relocation Policy
Purpose
The company has designed this policy to provide financial assistance and administrative support for relocating employees, as well as to clarify expectations for flexible work locations. This policy serves as a comprehensive guide for transferring employees between the company's Canada and US entities, and for supporting our fully remote and distributed team's ability to work from various locations.

Freedom of Movement
As a fully remote and distributed team we are able to support flexible work locations with the following expectations. This freedom of movement policy is to clarify expectations while working remotely and avoid issues that may cause disruption to the workday.
General Expectations
- Employees are expected to be available and communicative during scheduled core hours of 12 - 4pm EST.
- Permanent relocations must be within Canada/US only. A "permanent relocation" for purposes of this policy is a change to the address that you use (or expect to use) in filing your taxes.
- Permanent relocations should be sent to your manager and the People team at least 30 days before the move or as soon as possible
- Implications such as time zone impacts and new location registration should be discussed
- Extended international travel (outside Canada/US) is to be approved by your manager and can be requested as long as:
- Employee has been employed for more than 90 days
- Employee remains legally based in the US/Canada
- Employee continues to work Convictional core hours of 12 - 4pm EST
When freedom of movement is not available
- Permanently relocating outside of the US/Canada
- Temporarily or permanently being unable to work Convictional core hours
- Unable to fulfill travel requirements
- Local internet infrastructure is permanently inadequate
Relocation Between US and Canada Entities
Eligibility
This policy applies to regular full time employees who are requesting to relocate between our US and Canada entities. Employees must be employed for a minimum of 6 months with Convictional in order to be eligible to request relocation.
International Relocation Visa Assistance
Convictional will generally try to assist eligible employees in obtaining work visas in the U.S. and Canada. The Company will pay for up to $10,000 in legal fees and other expenses related to obtaining a work visa in the U.S. and Canada for an eligible employee. To receive monetary assistance from the Company, employees must:
- have been employed with the Company for more than six months,
- receive the approval of their manager
- be reasonably eligible under applicable law to receive a visa.
We generally expect to approve employees in good standing who apply for this process, but managers may choose to deny a request for monetary assistance because of performance concerns.
Approval
All requests of employee relocation must be approved by the General Counsel to ensure any legal requirements are doable and the CEO to ensure the business supports the relocation prior to actual relocation or commitment to the employee.
